Good HVAC field service software puts technician skill data and equipment history in front of the dispatcher and the technician at the moment it changes the outcome. The wrong tech on a job means a second truck roll. A missing service record means two hours of rediagnosis. We build dispatch around how HVAC work actually flows, not a calendar with a customer name pinned to it.
The economics reward getting this right. The US Bureau of Labor Statistics projects HVAC mechanic and installer employment to grow 9% from 2023 to 2033, faster than the average for all occupations (U.S. Bureau of Labor Statistics, 2024). Qualified technicians stay scarce, so every dispatch has to land the right person on the first visit. First-time-fix rate, drive-time routing, and equipment history are where field service software pays for itself.
Capabilities
What we build
01Job scheduling and dispatch
Visual dispatch board with skill-based job matching, GPS-based nearest-tech routing, priority queuing for emergency call-outs, and zone-based routing to cut drive time.
- Built with
- Google Maps API
Structured field capture of labour, parts, and diagnostic readings, digital customer sign-off, on-site invoice generation, and offline mode with automatic sync.
03Equipment asset management
Equipment records per customer site with full service history, warranty flagging on job creation, and asset-level maintenance schedules for multi-unit commercial sites.
Automatic invoice generation with rate cards applied on job completion, on-site card payment, and real-time sync to accounting with no double entry.
- Built with
- Xero · QuickBooks
Automated appointment confirmations, GPS-calculated ETA notifications, post-visit service summaries, and maintenance reminder sequences.
- Built with
- Twilio
06Maintenance contract management
Automatic job generation from contract visit schedules, contract coverage checks at job creation, PM compliance reporting, and renewal alerts.
How we work
From scope to live dispatch system
- Week 1
01Dispatch and operations scoping
We map your technician count, dispatch complexity, and equipment tracking needs. You leave week 1 with a written scope document and a fixed-price quote.
- Weeks 2-4
02Skill-matching and integration design
We design the dispatch logic, the per-site equipment data model, and the accounting sync against your actual operation. This is where we settle how certifications map to job types and how contract coverage gets checked at job creation.
- Weeks 5-11
03Build and integrate
Scheduling, dispatch, and the technician mobile app built in parallel, tested against real job scenarios.
- Final 2-3 weeks
04Launch and team training
Dispatchers and technicians trained on the new workflow before full rollout.
Why us
Why HVAC companies choose RaftLabs
01Senior engineers build what they scope
The engineers who assess your dispatch model also build the solution. No bait-and-switch, no offshore handoff after the contract is signed.
02Fixed price before development starts
We scope the work, calculate the cost, and lock it in writing before any development starts.
03Shipping production software since 2015
We have shipped operational software across healthcare, fintech, hospitality, and logistics, including multi-carrier shipping, point-of-sale, and asset-tracking builds. Real engagements across SaaS, fintech, healthcare, and logistics, not every one published as a named case study.
04We'll tell you when ServiceTitan or Jobber is enough
Custom development isn't always the right answer, and we'll say so.
05Skill matching and equipment history are core, not add-ons
Dispatch and asset data are built into the architecture from day one.
